Raúl Gorrín: Productivity = output of work / input of resources

By Raúl Gorrín. Now it is important for your final product, the goods that you produce, your ‘output of work’ to be of high quality. A poor quality product may make more money and be more efficient in the short run, but in the end you have to answer to your customers and if they are happy, then you will get repeat business. If the product is substandard, your company may find itself doing recalls, which can be expensive and hurt the company’s reputation. So……..

Rule 1: put out a high quality product.

The product must be produced within a defined time. The more efficient you are with time management of producing a product the more productive the product will be. So…

Rule 2: Watch the time it takes to produce a product.

So to see if we can be profitable on this product, we need to see if we can put out a high quality product within a given determined period of time.

Now rule one and two determine our output of work.

The input of resources that go into producing this product are plant and equipment cost, labor cost, cost of goodwill, cost of supplies and materials, government regulations, the list goes on and on.

So how do we use this ratio of output / input ?

If we are considering whether to upgrade our facility and some equipment, we use this ratio to make that determination.

If the cost to upgrade our technology will cost us one million dollars per month. But with the new technology we will put outfour extra million of dollars in goods because it takes less time to now produce this product. The new technology will put out a better quality product. This better quality product will be among the best , if not the best quality of any of your competition.

Output (4 million) / Input (1 million).  
That’s a 4:1ratio in favor of increases the technology.

We did not take into account the increase in goodwill from the superior product, which will result in more sales and more referral sales.

Of course there will be times where the ratio for more investment of capitol is not in your favor.

So whether you are considering investing in employee training, research and development or if you should open your sales to international markets, you need to consider the productivity ratio and use your best predictions to make an accurate determination.

Productivity if the numbers add up and the ratios are in your favor will increase and will become a process to create wealth. ( By Raúl Gorrín)

The Pomodoro Technique

The Pomodoro Technique was invented in the early 90s by developer, entrepeneur, and author Francesco Cirillo

He developed this technique to be more productive.

If you have a large task that takes a lot of mental attention, then this technique is perfect. When faced with any large task or series of tasks, break the work down into short, timed intervals (called "Pomodoros").The recommended time working interval is twenty five minutes. You work in short sprints , which makes sure you're consistently productive.  You can concentrate. The key is not to allow any inferences during this time period.

If you do get distracted, then you have to postpone the distraction until the pomodoro is complete. If you can do the latter, Cirillo suggests the "inform, negotiate, and call back" strategy:


You inform others that you are working on a project and cannot be disturbed.


To make the other person feel better, you can negotiate a latter time to deal with the distraction.


Do not answer phone calls during the pomodor, but call people back later after your task is done.


Of course there will be times of emergencies when you have to handle the emergrency, but this technique lets you complete a task, while not allowing interference. 




Every twenty five minutes, you should take a five minute break, to refocus your brain to keep its concentration level at top gear.

You work in short sprints , which makes sure you're consistently productive. You also get to take regular breaks that bolster your motivate on and keep you creative. With time it can even help improve your attention span and concentration .  
Pomodoro's focus is on making sure you make progress on your tasks, stay focused, and get things done without going insane. 

This method is to increase your own attention on concentration on a task and avoid distractions. It was not meant to be a company wide system but is a more personal one.

So you want to increase your productivity!

You want greater profits!

You want your company’s stock to increase… You want to get a huge bonus check or higher take home pay…… All you have to do is increase your company’s productivity and profit margin…….

But wait!

The Chinese markets are doing poorly. Europe has not done well in years and the USA may be headed towards another recession.

With all that bad economic news…. How can you possibly accomplish your goal???

You work hard, do lots of research, you trying to find the way.

The way to success during hard times is really quite simple. Walt Disney had the answer. He actually had an animated bear sing the answer on how to accomplish an increased productivity in the face of a bad economy.

Look for the bare necessities

So just try and relax, yeah cool it

In 2013 Honeywell has been trying to improve productivity across its four divisions and consolidate its businesses to bolster profit. The chief executive, David M. Cote, said  general cost cuts pushed up margins. They reported a 17 percent increase in profit, as cost cuts more than made up for flat revenue. Its shares were up 3.79 percent, or $2.71, to $74.18 in trading on the New York Stock Exchange.
             
 
In 2007 The Gap had a huge drop in sales yet, their profit margin went up. Thanks to some timely tailoring, shares of Gap (GPS) jumped 27% on Nov. 21 even as the retailer's sales fell 8%. They have been able to post higher profits by slashing expenses in the face of declining revenues.

Cost cutting is a short term goal to get you through those bad years when the economy is hurting. When people do not have the money to spend because of bad times…. Looking for complex answers will not get you the results you need. There are just times when you have to cut back to the bear necessities.

Raúl Gorrín: The key to productivity is in the efficiency of the company and in its workers

By Raúl Gorrín. As a child we start our training into the business world with the most basic 1 + 1 is equal to two. When we are involved in a business, we learn that the key to success and business survival is in its ability to be productive. The key to productivity is in the efficiency of the company and in its workers.



                                       

 So should it be any surprise that there are now so many apps to help you and your company be more productive.

There are apps to help with Time Management.

There are apps for procrastinators.

Dropbox is a free app. It allows you to transfer content from your computer to other devices. You can access and share important files on the go. You could send spreadsheets and other reports from you i-pad or from your cell phone to others.

Evernote s a free productivity tool that allows you to capture all your ideas, thoughts and images in many different ways,  with voice, notes or images.  You can even record your meetings, interviews, speeches and ideas, create lists, add voice or text attachments and share your files with friends.

I remember many years ago I was so very happy to make a sale. It was a huge sale and took in a lot of money for the company. What I didn’t figure out was the time involved in doing the job. The amount of man hours and salaries disbursed in doing this job, we actually lost money doing the job. It is not always easy to estimate the time involved in doing a particular project. But working at a loss is not exactly productive. If only there was an app that could keep tract of the amount of time invested into a project.

Focus Booster and Toggl  are  great alternatives to time-sheets if you need to track how much time you spend on different projects. Effective time management starts with being clear on exactly how much time you actually spend on your projects and tasks, and then analyze how you can manage them more effectively.(Raúl Gorrín)


Maybe that job that I did early in my career would have actually have been profitable and not have lost money if I would have found ways to cut down on many hours invested into that project.

You have to see what your goals in life are. Then you want to achieve them. In any business –selling is the key. You sell to your product and yourself to potential customers…  You sell your value and yourself to your company….. You sell yourself to your boyfriend or girlfriend by letting them know that you are there one for them….. Life is all about SALES…..( Raul Gorrin)

That is a quote from a movie called, Always BClosing.
You drove a Hyundai to get here. I drove an eighty-thousand dollar BMW. THAT'S my name. And your name is you're wanting. You can't play in the man's game, you can't close them - go home and tell your wife your troubles. Because only one thing counts in this life: Get them to sign on the line which is dotted. The above is a speech given in the movie. The movie forgets ones thing. Integrity and team work. But it has the right concept when it comes to sales. Any company that wants to increase their productivity needs to teach its employees to sell. If a salesman does not know how to sell, if selling is not in their blood then there will be no money coming into the company and the company will go out of business.  

A-I-D-A. Attention, Interest, Decision, Action.

Pay Attention to your customer. Study their wants and needs, study their company, learn about their goals. Know more about your client then they know about themselves. Make sure that your customer feels that they are getting more attention from you and your company then any of your competitors.

Show Interest in what you have learned about your customer. Let them know that you have an interest in seeing them succeed. That their success is your success.

Make a Decision to be there for your customer. Make an open decision to be their salesperson and supplier. You have more control on sales then you realize.

Once you have made a decision to be the winning  salesperson, then you have to actively take action. You may have to take classes on your customers product or do self study. You have to do whatever it takes to be the best and make the sale. If you go after theSALE with integrity and do what is right by your customer. It will be a lot of work, it will be difficult,  you will spend days and nights doing what it takes to be the best and make that sale. If you do all that you will be very productive and very successful.

Mohammed Ali, the famous boxer said it best….

I hated every minute of training, but I said, ‘Don’t quit. Suffer now and live the rest of your life as a champion.

Raúl Gorrín: Lost time is never found again

Lost time is never found again. That is a quote from Benjamin Franklin. Benjamin Franklin was a believer that one had to work work work. He had a famous quote where he said early to bed and early to rise makes a man healthy, wealthy and wise.

Mr. Franklin was not the only one who believed that the more you worked the greater would be your productivity.  “More, bigger, faster.” This, the ethos of the market economies since the Industrial Revolution, is grounded in a mythical and misguided assumption — that our resources are infinite. In 1914, 10-16 hour workdays were normal and six day work weeks were commonplace. There was the belief that you could never make up lost time.

Then came Henry ford in 1914 and he created the concept of the 8 hour work day. Eight hours labour, eight hours recreation, eight hours rest slogan broke the mold and ratcheted down the hours worked to the 40 hour a week norm we have today. The reason we work 8 hours a day, isn’t scientific or much thought out. It’s purely the a century old norm for running factories most efficiently. Henry Ford and the rest of the world believed that this was the way to be mostproductive.  

So what does science tell us about how much time one should spend working?

What amount of work time will be most productive?


Your brain can only focus for 90 to 120 minutes before it needs a break, Widrich reports. Why? It's the ultradian rhythm, a cycle that's present in both our sleeping and waking lives. And to do our most creative, productive work, we need to step to that rhythm.  Nathan Kleitman, a groundbreaking sleep researcher. He called it the "basic rest-activity cycle": Kleitman found the 90-minute pattern in our days, too, as we move from higher to lower alertness—the ultradian rhythm.


                                                 

More and more of us find ourselves unable to juggle overwhelming demands and maintain a seemingly unsustainable pace. Paradoxically, the best way to get more done may be to spend more time doing less. A new and growing body of multidisciplinary research shows that strategic renewal — including daytime workouts, short afternoon naps, longer sleep hours, more time away from the office and longer, more frequent vacations — boosts productivity, job performance and, of course, health.

The 8-hour workday was implemented over 100 years ago. Since then, we have become FAR more efficient in almost every part of life and business, so why our working hours are creeping UP, not down?

 Human beings can’t focus as intensely as they need to for more than 90 minutes at a time. Afterwards, they need an average of 30 to 60 minutes to rest before trying again.

For a week, try to do no more than 3 -  90 minute sprints a day with at least 30 minutes rest in between each. 

Don’t succumb to the cultural bias that may try to convince you that working 8+ hours per day makes you productive. That may be true for physical labor and some repetitive tasks, but it’s not true for knowledge workers and creative types. Many people enjoy tremendous flow and achieve great results by working in short high energy, bursts of motivation and drive. Try this for yourself, and you may never want to return to the gray zone of long, unproductive workdays again.

 Test it out on yourself, or on your employees. Work no more than 6 hours following the ultradian rhythm and see if one week of focusing that l you will get the most output you’ve ever had. 8 hour workdays are so 1914.

Raúl Gorrín: Get more done when you eat there food

Just about everything we eat is converted by our body into glucose, which provides the energy our brains need to stay alert. When we’re running low on glucose, we have a tough time staying focused and our attention drifts. This explains why it’s hard to concentrate on an empty stomach.Mostrando image.png

The types of food that we eat and the manner in which it is digested will effect our bodies , our energy level, our ability to think clearly and how productive we are.

High  fat food (think cheeseburgers and BLTs) provide a lot of energy but they are digested very slowly. This will reduce the oxygen to our brain and in turn will make us tired and groggy.

Foods that are of  high carbohydrates like pasta, bread, pizza, cereal and soda will give us a quick burst of energy. This burst of energy will not last long as carbs burn off quickly. So you will get your burst of energy but then your body will crash and you will slow down.

Foods with protein but lower in fat will give you the energy that you need to stay on the top of your game but will be easier on the body to digest and not make you groggy.

I remember all the times while I was at work and knew I had a lot to do that afternoon. So I either skipped my lunch or I ate a fast meal. Unhealthy lunch options also tend to be faster than healthy alternatives, making them all the more alluring in the middle of a busy workday. They feel efficient. Which is where our lunchtime decisions lead us astray. We save 10 minutes now and pay for it with weaker performance the rest of the day. So we save time either skipping lunch or eating unhealthy fast foods – only to find that our bodies slow down the rest of the day. Our production suffers. I found many times that I had to push myself so much to work after that fast unhealthy meal and that I had so little energy that I had to redo my work or that I got nothing done.

So slow down. Give yourself your lunch break. Eat right. Energize your brain and your body. Your productivity will only increase. I know of some companies that have insisted that their employees take lunch or if they have to work without a lunch break, the company buys and brings lunch in. they got the right idea.
